Application process

OK, you want to apply – so how does it happen and what is the process?

It is a multi-stage process that will very, very likely last several months, so Glenkerry is not a quick fix to housing need. Also, we wish to make sure that both you and Glenkerry are sustainable together, but should any of your circumstances alter at any point you must advise GCHA in a timely fashion.

The process works like this:

 

Stage 1 – You shall have read the information in either hardcopy form or via our website.

Stage 1a - You complete in the required detail your application and then submit it to GCHA. NB: You must sign the application and within it agree to our processing and retaining your information (where it will be held) in accordance with the Data Protection Act, as well as agreeing to other matters.

 

Stage 2 – Your application is assessed by three members of the committee to see if what you state meets our criteria. There are three possible outcomes:

  1. accept - you will on move to next stage 

  2. seek more information - you will be asked and need to supply more on specific matters, and your application will be pending receipt of that information, or  

  3. reject - on what you have supplied you do not meet our criteria and you will be notified of that. 

Stage 3a – If your application is accepted you will be called for interview, where a panel of three members of the committee, at least one of whom shall be from RSC, will ask questions to seek further information, clarification and your thoughts about what you wrote. You shall also need at this point to supply documentary financial evidence in support: e.g. payslips/SA 302, bank statements, proof of savings, etc. These shall be used to assess your money management. You can also ask us questions. 

Stage 3b – Immediately after your interview, your answers will be assessed by the panel, who will decide if your application should proceed or not. If yes, it will make its recommendation as to what size of property should be offered. Within the next 6 weeks the outcome of this will be discussed at an RSC meeting; RSC will make a decision to either proceed subject to references or not to proceed further. If the decision is not to proceed, you will be advised in writing. 

 

Stage 4 – If “proceed” is agreed, then references will be sought from those you have stated as available. Subject to those being received, they will be included in a further assessment of the totality of your application by the wider RSC at its next available meeting. If approved, you will move to the next stage, but if rejected then you will be advised in writing.

 

Stage 5a – If approved by RSC, then minimum details so as to comply with data protection statute will be submitted to the full management committee at its next meeting, with a recommendation for your inclusion on the waiting list for a flat of a specified size(s). You will be notified of this.

Stage 5b – If you have remained on the “waiting list” for more than 6 months, we may enquire if any of your circumstances (e.g. employment, finances, personal etc.) have changed, and you are expected to respond in a timely fashion supplying detail where they have.

Stage 6 – Once a property of appropriate size becomes available, you will be contacted. Please be aware that it is entirely dependent on an existing member wanting to sell and move out. Therefore, we cannot give any indication of how long that may take, other than that 2- and 1- bedroom flats come up more frequently than 3- and 4-beds. You can refuse up to three properties, but at the point of a third refusal we shall have to conclude that your application shall not continue and is withdrawn.
